How to answer Etsy messages quickly and well

Replying to Etsy messages within the first 24 hours is one of the requirements for the Star Seller badge. Here is how to manage message volume with quick replies, auto-reply and the right templates.

Customer messages on Etsy cut both ways. A pre-sale question, answered quickly and accurately, turns into an order. A post-sale question, handled well, turns into a positive review; handled badly, it can turn into an opened case or a low rating. As a shop grows, so does the message count, and writing every reply by hand from scratch stops being sustainable.

In this article we cover Etsy's messaging rules and tools (as of September 2026), the question types POD sellers get most often, and ways to answer them quickly while keeping them personal.

Star Seller and the 24-hour rule

The messaging requirement for Etsy's Star Seller badge: reply to 95% of the initial messages you receive in an evaluation period within 24 hours. An “initial message” is the first message in a conversation (thread) opened by a buyer. The rate is calculated by dividing the new messages you answered within 24 hours by the total number of new messages.

  • Only the first message in a conversation counts; later messages in the same conversation don't affect the rate.
  • Replies sent with Etsy's Auto-reply feature are counted toward this rate too.
  • With Quick replies, you can answer common questions with ready-made text.

Etsy's quick reply feature

Etsy's quick replies (formerly saved replies) let you answer common questions with pre-written text. Etsy also offers sample text for some categories; you can edit these or create your own replies and categories. To add a new quick reply, use the add new option on the Manage quick replies page and set a title, message and category.

The biggest risk with canned replies is sounding like a robot. Before sending, personalize each one with the buyer's name, an order detail or a specific point from their question.

“Hi Mark, I am really sorry the print on your hoodie did not come out right. Could you send me a photo of the issue? As soon as I see it, I will send you a free replacement or a full refund, whichever you prefer.”

Prioritizing messages

Not every message is equally urgent. Working through your inbox in this order during the day protects both your 24-hour rate and customer satisfaction:

  1. Messages about orders about to go into production: address changes, personalization fixes, cancellations. If these are late, the mistake becomes permanent.
  2. Defective or damaged item reports: a fast, solution-focused reply is the most effective way to prevent a negative review or an opened case.
  3. Pre-sale questions: size, color, delivery date. If your reply is slow, the buyer may go to another shop.
  4. General questions and thank-you messages: a short, warm reply is enough.

Turning a pre-sale question into an order

A buyer asking a pre-sale question is already interested in the product. Your reply shouldn't just close the question; it should make the buying decision easier. Give measurements to someone asking about size, and make a clear recommendation. Tell someone asking about delivery honestly whether it will arrive by a given date, and mention a faster shipping option if needed. Show someone asking about personalization how to write their text with an example. End every reply with a sentence that clearly states the buyer's next step.

Reducing the number of messages from the start

The fastest reply is the one to a question that never gets asked. Many incoming messages are about information that could already have been given in the listing or after the order.

  1. Complete your listing descriptions: state fabric, fit, size chart, production time and care instructions clearly.
  2. Use an FAQ section: answer common questions on your shop page.
  3. Make personalization instructions clear: show in the listing what the buyer should write, the character limit and a sample format.
  4. Share tracking proactively: make sure the tracking link reaches the buyer when the order ships.
  5. Add real product photos: they cut down on questions about color and print appearance.

Do weekend messages hurt my 24-hour rate?

The rate looks at whether you replied to the initial message within 24 hours. According to Etsy, turning on auto-reply on weekends or during vacations counts toward this rate.

Do canned replies lower customer satisfaction?

An unpersonalized canned reply that barely relates to the question can. When you use a canned reply as a skeleton and add a sentence specific to the buyer's name, order and question, it is both fast and personal.

Should I reply to messages in English?

It's best to reply in the language the buyer wrote in. For buyers in the US, English written in simple, short sentences is enough.

Are AI reply suggestions sent automatically?
